Spaces are like rooms of your house.
- Your kitchen is for cooking.
- Your bedroom is for sleeping.
- The bathroom is for…washing your hands.
Spaces define the metaphorical rooms in your life. These are specific, ongoing use cases, both personal and professional. These spaces should be unambigious and (generally) non-overlapping.
This means that you should think of them like boxes in which there is rarely a question related to where information would get sorted.
Back to the rooms of your house example: forks go in the kitchen, pillows go in bedrooms.
How to use Spaces
There is one key guideline for Spaces that I strongly recommend you adhere to: Do not have more than 9 spaces.
This limit is not structural nor technological, it is to force you to get clear on the most important categories of things in your life.
Spaces are numbered 01-09. This same numbering system should be used across every other system or tool in your life including email, file management, etc.
Here is an example of my current spaces:

Now, when I think about writing, podcasting or social media, I search by “04” and if I want to switch to working on my Keynotes, I can switch to “02.”
This is consistent across all of my tools.
